Thank you for using the online fee payment portal of KMEA Arts & Science College, North Paravur, Ernakulam, Kerala. If you are not satisfied with your transaction or have encountered an issue, we are here to assist you. Please read this policy carefully before initiating a refund or cancellation request.
Cancellation of Payment
Once a payment transaction has been successfully completed and confirmed by the payment gateway, cancellation of the transaction is not permitted. Students are strongly advised to verify all details — including the fee head, amount, and student information — before confirming payment.
In the event of a duplicate payment or technical error resulting in an excess charge, students may raise a refund request as detailed below.
Refunds
Refunds will be considered only under the following circumstances:
- Duplicate payment made for the same fee head and academic year.
- Payment debited from the bank/card but not credited against the student account due to a technical failure.
- Excess payment made due to a system error.
Refund Process
- Once a refund request is received and verified, the College will notify the student within 7 working days.
- If the refund is approved, it will be credited to the original payment source (bank account / card) within 7–14 working days, depending on the bank's processing time.
- The College will not be responsible for delays caused by the bank or payment gateway after approval of the refund.

Non-Refundable Fees
The following fees and charges are strictly non-refundable under any circumstances:
- Admission / Application processing fees
- Examination fees once submitted to Mahatma Gandhi University (MGU)
- Caution deposits (refunded separately as per College norms at the time of completion of course)
- Registration fees for events, seminars, workshops, or value-added programmes
- Library, sports, and other one-time levy charges
- Fine amounts collected for disciplinary or administrative reasons
How to Request a Refund
To raise a refund request, the student or parent/guardian must:
- Submit a written request to the College Office within 10 calendar days of the disputed transaction.
- Attach a copy of the payment receipt or transaction confirmation (email/SMS).
- Provide proof of double deduction — e.g., bank statement or account screenshot.
- Include student name, ID number, course, and contact details.
Requests submitted after 10 days from the date of transaction may not be entertained.
